1. Who we are

Proxima Tyres Fitment Centre ("Proxima Tyres", "we", "us", or "our") is a tyre supply and fitment business located at 216 Samora Machel Avenue, Eastlea, Harare, Zimbabwe. For the personal information described in this policy, Proxima Tyres is the data controller.

We respect the right to privacy protected by section 57 of the Constitution of Zimbabwe and process personal information in accordance with Zimbabwe's Cyber and Data Protection Act [Chapter 12:07].

2. Information we may collect

When you contact or do business with us, we may collect:

• your full name, telephone or WhatsApp number, and email address;
• vehicle make and model, tyre size, quantity required, and enquiry details;
• quotation, appointment, purchase, payment, fitment, warranty, and customer-service records;
• communications you send to us and any information you voluntarily include; and
• limited technical information recorded by our hosting and security providers, such as IP address, browser or device type, requested page, date and time, and error or security logs.

Please do not send sensitive personal information that is unnecessary for a tyre enquiry or service.

3. How we collect information

We collect information directly from you when you call, send a WhatsApp message or email, visit our premises, request a quotation, book a service, or purchase goods or services. Limited technical data may be collected automatically by the providers that host, secure, or deliver the website.

4. Why we use your information

We use personal information only for specified and legitimate purposes, including to:

• answer enquiries and prepare requested quotations;
• confirm tyre suitability, availability, quantities, appointments, and fitment requirements;
• provide goods, services, warranties, after-sales support, and fleet support;
• process and maintain business, accounting, tax, and transaction records;
• protect customers, staff, the website, and our business from fraud, misuse, or security threats; and
• comply with legal duties, resolve disputes, and establish or defend legal claims.

Depending on the circumstances, processing is based on your request or consent, the performance of a contract with you, compliance with a legal obligation, or our legitimate operational and security interests where those interests do not unfairly override your rights.

5. Marketing

We will not use your details for unrelated direct marketing without a lawful basis. You may object to or opt out of direct marketing at any time, free of charge, by using the contact details in section 12.

6. When information may be shared

We do not sell personal information. We may share only what is reasonably necessary with:

• authorised Proxima Tyres staff who need it to serve you;
• carefully selected providers supporting website hosting, IT, email, communications, payments, accounting, or business operations under appropriate confidentiality and security terms;
• professional advisers, insurers, or auditors where necessary; and
• regulators, courts, law-enforcement bodies, or other parties where disclosure is required or permitted by law.

7. International transfers and third-party services

Some providers used by this website or by our communications channels may process information outside Zimbabwe. These may include website hosting services, Google Maps and Google Fonts, and Meta services such as Facebook, Instagram, and WhatsApp. Where our transfer of personal information outside Zimbabwe is required, we will use it only where legally permitted and apply appropriate safeguards.

Third-party websites and services have their own privacy practices. Clicking an external link or using WhatsApp, Google Maps, Facebook, or Instagram may allow that provider to collect information under its own policy and terms.

8. Cookies and website tracking

Proxima Tyres does not currently use its own advertising cookies or analytics trackers on this website. Essential hosting, security, embedded-map, font, or linked third-party services may nevertheless receive technical information or use identifiers according to their own settings and policies.

9. Retention

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. Unsuccessful enquiry records will ordinarily be deleted or anonymised within 12 months, unless an ongoing relationship, dispute, security issue, or legal requirement justifies longer retention. Transaction, tax, warranty, accounting, and service records are retained for the period required by applicable law and legitimate business needs. Provider security logs are retained according to the provider's applicable schedule.

10. Security and data incidents

We use reasonable technical and organisational safeguards appropriate to the information and risk, including controlled access, reputable service providers, secure communications where available, and staff confidentiality. No internet transmission or storage system can be guaranteed to be completely secure.

If a security breach affects personal information, we will investigate, limit the harm, and make the notifications required by Zimbabwean law, including notification to the Data Protection Authority within the legally required period where applicable.

11. Your rights

Subject to Zimbabwean law and any applicable exceptions, you may:

• be informed about how your personal information is processed;
• ask whether we hold personal information about you and request access to it;
• ask us to correct inaccurate or incomplete information;
• object to particular processing, including direct marketing; and
• ask for deletion of false or misleading information, or other deletion where the law permits it.

We may request reasonable proof of identity before acting on a request. We will respond within the period required by law and explain if a lawful exception prevents us from fulfilling all or part of a request.

13. Children

Our website and services are not directed to children. A parent or legal guardian should contact us on behalf of a person under 18 where personal information is required for an enquiry or service.

14. Changes to this policy

We may update this policy when our services, technology, providers, or legal obligations change. The current version will appear on this page with a revised effective date. Material changes will be brought to users' attention where reasonably practicable or legally required.
